01.Overview

FMY Orthodontics partnered with SoftDoes to design and build a custom web-based software platform that modernized how their practice manages orthodontic financial planning.

The solution replaced a spreadsheet-driven workflow with a secure digital system that allows staff to present treatment financing options electronically and enables patients and parents to review and complete those decisions remotely.

The result was a simpler, more efficient workflow for staff and a more convenient experience for families managing orthodontic treatment.

"If you're on the fence and thinking about it, SoftDoes is definitely the place to be."

-Daniel Merwin, President, FMY Orthodontics

02.Client background

Multi-location orthodontic practice serving West Tennessee with more than five offices and approximately 50 staff members. The practice provides orthodontic care for both children and adults and manages complex financial planning for long-term treatment programs.

03.Challenge & solution

challenge

Before working with SoftDoes, FMY Orthodontics relied on a detailed internal spreadsheet system to manage patient financing discussions.

While the process technically worked, it created several operational challenges:

  • Financial discussions required in-office coordination between staff and families.

  • Parents often needed time at home to review and discuss payment options.

  • The spreadsheet system required manual work from staff to maintain and explain.

  • Existing third-party solutions in the market were expensive and poorly suited to the practice’s workflow.

  • The practice needed a system that could digitize the process without disrupting the way their team already worked.

solution

SoftDoes developed a custom web-based financial workflow platform tailored specifically to the operational needs of FMY Orthodontics.

The system allows staff to input treatment and financing information while enabling patients and parents to securely review payment plans and complete financial decisions electronically.

Key elements of the solution included:

  • Custom software development aligned to the practice’s real workflow.

  • A secure, web-based interface accessible outside the office.

  • Electronic financial plan presentation for patients and parents.

  • Reduced manual handling for staff.

  • A scalable platform that supports the practice’s multi-location operations.

By designing the system around how the practice already operates, SoftDoes delivered a solution that improved efficiency without forcing the team to change their process.

04.Results

The custom platform created measurable improvements for both staffand patients:

  • Operational Efficiency

  • Reduced the number of steps required for staff to manage financing workflows

  • Eliminated reliance on manual spreadsheet processes

  • Simplified internal coordination across offices

  • Improved Patient Experience

  • Patients and parents can review financing options remotely

  • Electronic workflows match modern patient expectations

  • Families can discuss treatment decisions together at home

  • Long-Term Stability

  • Custom software designed specifically for the practice’s workflow

  • Scalable platform that supports future operational growth

  • Reliable development partner for ongoing improvements

"Behind the scenes… it’s that proverbial duck floating on the pond. My staff now is not going to have to paddle nearly as hard."

-Daniel Merwin, President, FMY Orthodontics
