01.Overview
Prior authorization is one of healthcare's most persistent administrative burdens: repetitive, deadline-driven, and easy to let slip.
For Joseph Oluwo, founder of Prior Authorization AI and operator of a Medicare/Medicaid medical transportation company in New Jersey, it consumed days of phone calls and manual data entry every single week.
SoftDoes built a custom AI platform that ingests patient documentation, populates authorization forms, flags issues before submission, and tracks renewal deadlines automatically.
What was a sprawling manual process is now a clean review workflow, and a product Joseph plans to bring to market for providers across the country.
"Every time I sent a request, if there was anything that didn't work, they were able to turn it around quickly. Even when there were no updates yet, they always reached out to let me know they were working on it."
-Joseph Oluwo, Founder Prior Authorization AI
02.Client background
Joseph Oluwo runs a medical transportation company serving dialysis patients and other Medicare/Medicaid recipients in New Jersey. His patients travel on fixed schedules, many three times a week, making consistent and on-time prior authorization essential to operations.
With deep clinical and logistics experience and no technical background, Joseph recognized an opportunity that most operators in his space had missed: the inefficiency was unaddressed, and therefore solvable. Prior Authorization AI was built from that insight.
03.Challenge & solution
Prior authorization for medical transportation is relentless. Every patient transport requires documented approval from Medicare before it can happen.
That means collecting clinical notes from doctors, social workers, and specialists; assembling them into a compliant submission packet; and filing before a hard deadline. Miss the window, and the transport cannot happen.
For Joseph, that process looked like this:
Spending up to 16 hours on the phone each week chasing documentation from doctors' offices
Manually assembling patient records and transportation applications for each submission
Tracking authorization renewal dates (every 30 or 90 days, per patient) with no automated reminders
Resubmitting when records arrived incomplete or with incorrect verbiage
Managing all of this as a solo operator while also running day-to-day transportation logistics
Every hour spent on clerical work was an hour unavailable for growth, patient relationships, or clinical quality.
SoftDoes built Prior Authorization AI: a custom AI-powered prior authorization platform designed specifically for medical transportation providers.
The platform sits between the doctor's office and Medicare, automating the intake, review, and submission process end to end:
Receives faxed patient documentation via API integration, eliminating manual document collection
Uses AI to extract and populate required fields for authorization submissions automatically
Flags missing data or non-compliant verbiage before anything leaves the system
Connects directly to Medicare's API to streamline filing without manual data re-entry
Tracks per-patient renewal deadlines (30 and 90-day cycles) with automated reminders
Provides a clean review interface so Joseph Oluwo can approve, flag, or request corrections in seconds
The engagement also included HIPAA-compliant infrastructure setup on AWS, GitHub onboarding, and hands-on technical education for a non-technical founder navigating these systems for the first time.
04.Results
Prior Authorization AI is live and in final validation ahead of its first Medicare submission, a meaningful milestone for a solo founder building in a regulated industry.
Document collection reduced from 16+ hours of weekly phone calls to automated fax-to-platform
Authorization renewal deadlines (30 and 90-day cycles) now tracked and flagged automatically
Pre-submission AI review catches missing data and non-compliant verbiage before filing
Direct Medicare API integration eliminates manual re-entry at the point of submission
Founder freed from clerical work to focus on clinical oversight and business development
Platform built for commercial expansion, with plans to bring it to transportation providers nationwide
"I spent two days on the phone, literally 16 hours, collecting documents. That's what this is replacing."
-Joseph Oluwo, Founder Prior Authorization AI
